We process your email address, account identifier, country, language, terms acceptance and optional marketing choice to provide your requested free account. Robot numbers you submit are recorded as pending ownership claims. Account administration relies on performance of the account agreement; optional marketing relies on separate consent. Declining marketing does not restrict your free account. Your profile can also include your name, company, postal address, phone number, website, VAT number and robot numbers. When you leave the VAT-number field or change your billing country, we send the VAT number and country code to the European Commission’s VIES service to check validity. We show the result in your profile but do not save the check result there; the check does not itself determine tax treatment or the price of an order. We process service requests and order and payment status to provide paid services. This online check currently supports VAT numbers from Belgium, Germany, France and the Netherlands.

Authentication and abuse prevention use necessary session and verification records, including connection IP address and browser information, under our legitimate interest in securing the service. Sign-in links expire after 10 minutes and sessions after 120 days. We do not import old customer mail or expose other owners’ records through a serial-number claim.

Cloudflare provides hosting and account and order storage; Brevo sends requested sign-in emails; Stripe processes payments in its hosted checkout; our Odoo system manages linked customer contact records and provides paid invoice details; and the European Commission’s VIES service checks VAT numbers. Card details are entered with Stripe and are not stored by EEVE.

We retain account information while needed to provide an active account. After an account-closure request, unnecessary personal information is removed; any records required for legal obligations or resolving disputes are retained only for the relevant purpose and period. Authentication records are limited by their security purpose and validity; expiry prevents access. Provider technical retention and safeguards are reviewed before additional service processing is introduced.

You may request access, correction, erasure, restriction or portability where applicable, and object to legitimate-interest processing. You can withdraw optional marketing consent in your account preferences or through the privacy contact without affecting earlier lawful processing. You can complain to the Belgian Data Protection Authority. No advertising trackers are enabled. Optional service analytics records only the service and steps reached, plus fixed error categories, after your consent. It never records your description, contact details, robot number or payment details. A random reference exists only while the page is open; stored journey references expire from reports after 30 days and are removed on the next analytics write. Your choice is saved for six months and can be changed in the service footer. Do Not Track and Global Privacy Control disable collection.

The account can show paid invoices already held in Odoo. Automatic creation and emailing of an Odoo invoice for every website payment is not yet connected.

We also process the name, optional company, postal address and service-request information you provide to administer your account and assess your request before entering a service agreement. Request records and references are visible only in the requesting customer’s account and to authorised service personnel. Submitting a request does not authorise a charge or repair.
